Emailing college coaches
Coaches open emails that are short and specific: who you are, your grad year, what you do, your best numbers, a clickable video link, and one real reason you want that program. Your first email isn't a biography.
When to email
- Sophomores can email now. Under NCAA rules, D1 coaches generally can't send personalized replies until Aug 1, 2027 (start of junior year; see the timeline). They still read emails, watch video and file questionnaires, so early D1 emails plant your file.
- D2, D3, NAIA and JUCO coaches often respond sooner.
Subject line formula
Grad year + position + size + one or two standout measurables + GPA if strong + (Video)
✅ Good: 2029 SS | 6'1 175 | 92 EV | 6.8 60 | 3.8 GPA (Video)
❌ Bad: Interested in your program · Check out my son
Master template
Keep the body under about 150 words. Link your video (YouTube or Hudl). Never attach it.

Numbers coaches expect, by position
- Pitcher: fastball range, secondary pitches, strike %, K/BB.
- Catcher: pop time, catch-and-throw velo.
- Infield/outfield: 60-yard, exit velo, arm strength, recent slash line.
- Two-way: list both.
Verified numbers only: varsity, travel, Perfect Game, PBR or another verified event. No Little League, middle school or inflated radar numbers. Use the same numbers in your social media bio.
Before you hit send
- ☐ Fill out that school's recruiting questionnaire first, then mention it in the email.
- ☐ Send from the player's own professional email (e.g.
firstname.lastname2029@gmail.com), not a parent's. - ☐ Address the recruiting coordinator by name (from the official staff page), and cc the position coach if it fits.
- ☐ Never write "To Whom It May Concern."
- ☐ One school per email, with a personalized first line.
- ☐ Log it in your spreadsheet: school, coach, date sent, questionnaire done, reply, next follow-up.
Follow-up cadence
Follow up every 2–4 weeks, and only with a new fact: new velo or EV, a tournament result, an updated 60-second clip, a camp or visit date, or an academic update.
Subject: Follow-up: 2029 SS [Name] — [new number or event] Coach [Last Name], Quick update since my last email: [new fact]. Updated video: [link]. I'm still very interested in [University] because [reason]. [Full Name] | Class of 2029 | [Position] | [Cell]
